When choosing time attendance software, review your working rules before counting screens. Collecting entry and exit records is the first step. Check separately how those records become timesheets under your shift, break, leave and overtime rules.
Prepare a small demonstration sample
Use one employee's sample days covering normal work, late arrival, a missing exit, leave and an overnight shift. Write the expected results from your existing rules before the demonstration. You can then compare calculations instead of only viewing screens.
Key points to check
- Shift start and end times, including work across midnight.
- How breaks and tolerances affect the timesheet.
- Who can correct missing punches.
- Leave and overtime approval workflows.
- Matching employee records to device card numbers.
- Period reports, export options and backup arrangements.
Verify devices with real examples
Provide the device model, network details and a sample attendance record. Transfer methods may differ between devices. Confirm the integration scope and card matching before setup; do not assume that an unsupported model will work automatically.
Clarify annual rental scope
The quotation should define the license start, renewal terms, setup, training and support. Establish how timesheets and financial outputs will be reviewed against the company's rules before a period is closed.
